T&Cs Clause 6 – Late payments, payment extensions, and other fees
In this article, you’ll find the process Intelligent Training Solutions will implement to your account with regard to late payments, overdue accounts and other fees and charges that may be charged to your account.

1. Late payment fees
A late payment fee is charged to your account when the invoice has not been paid by the due date. To assist students and clients of Intelligent Training Solutions with remembering invoice due dates, our automated account system (Xero) will send invoice reminders at the following intervals:
|Due in 2 days||Students and clients will receive an automated reminder email two days before the invoice’s due date.|
|Overdue 4 days
||Students and clients will receive either a phone call, text message, or email reminder regarding their overdue invoice.
No late fees will be charged at this stage.
|Overdue 7 days||Students and clients will receive an automated overdue invoice reminder from Xero AND a reminder letter from our accounts team.
A late payment fee of $15 will be applied to your account, and a student’s access to their learner portal will be suspended.
|Overdue 14 days||Students and clients will receive an automated overdue invoice reminder from Xero AND a second reminder letter from our accounts team.
NOTE: The second letter will inform you of the debt recovery process Intelligent Training Solutions implements for all overdue accounts.
|Overdue 21 days||Students and clients will receive an automated overdue invoice reminder from Xero AND a third and FINAL reminder letter from our accounts team.
The original $15 late payment fee will be amended to a 15% plus GST late payment fee in preparation for the account to be sent to our Recovery Agent. A student’s enrolment may also be cancelled by Intelligent Training Solutions at this time.
|Overdue 28 days||Overdue accounts will be sent to Prushka Fast Debt Recovery. Prushka uses Mason Black + Mendelsons Lawyers to assist with recovery actions.|
Avoid being charged a Late Payment fee by paying your invoice by the due date. For information on how to pay your invoice, please refer to the ‘How to Pay’ section of your invoice or contact Intelligent Training Solutions.
Suspension of enrolment
Students who do not make their payments on time (by the due date listed on their invoice) will be excluded from class and have their Learner Portal access suspended until the overdue payment has been made or a payment arrangement has been negotiated.
How to avoid a late payment fee or the suspension/cancellation of your enrolment
Students who are unable to meet the payment due date or are experiencing financial hardship must contact Intelligent Training Solutions by phone or refer to the ‘How to request more time‘ help topic before their invoice becomes overdue. To avoid a late payment fee, suspension, or cancellation of your enrolment please call us. A failure to contact us before your invoice becomes overdue will result in the above-mentioned procedure being implemented against your account.
NOTE: Intelligent Training Solutions would prefer to work with you during any financial hardships you are experiencing; however, failing to speak with us will result in us recovering course fees through a paid service.
2. Payment Extensions
A student can request a payment extension before their invoice’s due date. Requests for course fee extensions must be made in writing using the Fee Payment Extension Form located in the Student Administration and Form section of this website.
3. Credit card payment fee
Any payments made via credit, debit or charge cards incur a 3.0% (incl. GST) payment processing fee. The fee will appear on your TAX receipt, which is available on request.
You can avoid the credit card payment fee by setting up automatic payments (direct debit), paying from PayID, or direct bank transfer. Direct debits are only available for qualification courses. Direct debit is not available for short courses.
4. PayPal payment fee
Any payments made via PayPal incur a 3.0% (incl. GST) payment processing fee. The fee will appear on your TAX receipt, which is available on request.
You can avoid the PayPal payment fee by setting up automatic payments (direct debit), paying from PayID, or direct bank transfer. Direct debits are only available for qualification courses. Direct debit is not available for short courses.
5. Automated payment (Direct debit) fee
Invoices paid using automated payments (previously known as direct debit) may incur a $0.33 + 1.87% transaction fee. Some courses are fee exempt, so please speak with your enrolment officer before setting up a direct debit.
A $5.50 dishonour fee is charged to any student or client whose automated payment fails due to insufficient funds or user account issues.
6. Paper bill fee
There is a $2.20 paper bill fee if you decide to receive your invoice by mail (postage).
7. Course Transfer Fee
A student-requested course transfer will incur a fee of $17.50. This fee will need to be paid in full otherwise, the transfer of the enrolment will be declined.
Enrolments, where the transfer was initiated by Intelligent Training Solutions, will be processed fee-free. Refer to Clause 5 – Course Transfers for more information.
8. Course Extension Fees
- A One-Month Standard Course Extension fee is $135 per month*.
- A Three-Month Standard Course Extension fee is $355 per month*
- A Non-Standard Course Extension, if approved, will have the fees waived.

9. Printed awards (Certificates) fees
- A $10.00 fee will be charged for all printed or re-issued (printed) awards. This fee covers the costs of reprinting the award and postage anywhere in Australia.*
- No fee will be charged for a re-issue of a PDF Award. This award will be sent via email.
*Printed (Hard Copy) awards will be issued for all qualification courses such as Certificate II, Certificate III, Certificate IV, Diploma, and Advanced Diploma courses. In addition to qualification courses, the following courses/clients will also be issued with a printed award free of charge (original issue only).
- All corporate clients/corporate bookings*

10. Course re-assessment fees
A student is entitled to two assessment attempts for each theory unit/assessment and one assessment attempt for a practical unit/assessment.
If a student has exhausted their assessment attempts, they must speak with their course coordinator or course assessor to pursue the best course of action. Depending on the course a student has enrolled in, students may be offered a re-assessment fee* or a student may be required to re-enrol and repeat the unit. A re-enrollment fee will apply to students who are required to repeat a subject.
*A cost recovery approach is applied to all re-assessment fees. A minimum of 1-hour will be charged. The standard hourly fee for all course courses is $99p/h (inc GST).
Car Driving Instructor re-assessment fees
The practical re-assessment fees for students enrolled in the Car Driving Instructor Qualification are as follows:
- TLIC1051/TLI3036 (previously known as Safe & Efficient Car Driving) re-assessment fee is $180.00 (GST Free)
- TLIM0001/TLIM4001 (previously known as Develop Safe Car Driving or Instruction Method) re-assessment fee is $360.00 (GST Free)
