Enrolment Terms and Conditions

INFORMATION HANDBOOK

1. FEES AND CHARGES

COURSES UNDER $1,500 COURSES OVER $1,500*
For all courses under $1,500, Intelligent Training Solutions requires payment in full prior to the commencement your course. For all courses over $1,500 Intelligent Training Solutions will provide you with two options to pay your enrolment fees.

The first option will be via a weekly, fornightly or monthly direct debit.

Our second option will be to divide your course enrolment fee into four installments payable over the entire duration of your course.

Fees applicable to each course are detailed within this website under the course information pages.

*You will need to indicate your preferred payment method on your terms and conditions form that will accompany your course enrolment form. For any additional information regarding direct debit schedules or fee statements please contact our administration office.

NOTE: Payment instalments and schedules are available on each course page as of November 2013.


2. DEFERRING FROM AN ACCREDITED COURSE

Before you apply to defer from an accreddited course, it is strongly recommended that you discuss the matter with your Course Coordinator. Depending on your date of deferral, you may still be liable for fees related to any non-completed component of your current units.

You cannot defer from your course enrolment to avoid the requirement to show cause for unsatisfactory academic progress in a given academic year. Students may defer from an accredited course for a maximum period of 6 months. If during your deferral period your course code or course criteria is updated or changed by www.training.gov.au, you may be required to pay additional course enrolment fees so that you can be enrolled into the newest or current version of your course.

To defer from your course you will need to complete a deferral application form. This form can be downloaded from https://www.its.vic.edu.au/student-administration/


3. WITHDRAWING FROM AN ACCREDITED COURSE

Before you apply to withdraw from an accredited course, it is strongly recommended that you discuss the matter with your Course Coordinator. Withdrawing form a course will make you liable for any remaining or outstanding fees relating to your course or any non-completed units of competence as Intelligent Training Solutions has already secured trainers, training venues, course resources and printed materials for you. Your attendance has been included as part of the course and therefore, withdrawing from your course will result in a vacant position within the course and will deprive Intelligent Training Solutions and the course from the revenue it would provide.

You cannot withdraw from your course enrolment to avoid the requirement to show cause for unsatisfactory academic progress in a given academic year.

To withdraw from your course you will need to complete a withdrawal application form. This form can be downloaded from https://www.its.vic.edu.au/student-administration/


3. REFUND OF ENROLMENT FEES

Once a deposit, instalment payment or full payment of any course has been made, the refund arrangements are as follows:

All refund requests must be in writing using the Refund Application Form located under ‘Student Administration‘ on our website. This form must be signed and dated by you and sent to Intelligent Training Solutions using one of the methods listed on the form.

2.1) 90% of the course fee or deposit paid minus any Banking, PayPal or Merchant fees is refundable if a written application is received 28 days or more prior to the proposed course commencement date.

2.2) 50% of the course fee or deposit paid minus any Banking, PayPal or Merchant fees is refundable if a written application is received between 8 to 27 days prior to the proposed course commencement date.

2.3) Course fees or deposits ARE NOT refundable for any refund application received less than 8 days of the proposed course commencement date. At this stage, Intelligent Training Solutions has already secured trainers, training venues, course resources and printed materials and your attendance and your enrolment has been taken into account during this preparation stage, therefore course fees WILL NOT be refunded.

WITHDRAWING FROM THE COURSE AT THIS STAGE WILL RESULT IN A VACANT POSITION WITHIN THE COURSE AND WILL DEPRIVE INTELLIGENT TRAINING SOLUTIONS AND THE COURSE OF THE REVENUE IT WOULD PROVIDE

2.4) For courses under $600.00 no refund will be issued if an application is received with less than 8 days of the proposed course commencement date for any student who change their mind. For courses over $600, Intelligent Training Solutions may use its discretion to apply a refund between 50-90%.

NOTE: Payments made within 7 days of the course commencement date will not be refunded under dot point clause 2.3. Please decide carefully when enrolling into a course within 7 days of commencement as Intelligent Training Solutions do not have a cooling off period. Once your course has commenced, all instalments or direct debit payments must be made and are non-refundable.

* If you are able to provide an enrolment (another person) to take your place on the course, Intelligent Training Solutions will arrange a transfer for you under clause 6 or a refund for you under clause 2.1

* If you are stating a ‘medical reason’ for the purpose of a refund, you MUST provide us with a Medical Certificate issued by your GP otherwise your application will not be considered.


3. DELAYED COMMENCEMENT

In the event that Intelligent Training Solutions is unable to commence the course, the initial fee payment and any instalment payments received by Intelligent Training Solutions will be refunded in full. Refunds will be paid within 4 weeks of the day on which the course was cancelled.

Alternatively, enrolment in to another course may be offered by Intelligent Training Solutions.


4. MISSED OR OVERDUE PAYMENTS

Employers, schools or individual students who do not make their payments by the due date will be excluded from attendance and have their enrolment suspended for 1 week or until the missed instalment payment is made. If the missed instalment payment has not been made at the end of the 1 week suspension the student will have their enrolment cancelled and will be invoiced for the full cost of the enrolled course.

Please note that a 10% administration fee, or $50 (whichever is the least amount) will be added to any overdue amounts from the date the payment becomes overdue.


5. CHANGES IN COURSE FEES

Prior to a student enrolling, course fees may be altered without notice. Once a student’s enrolment has been confirmed by Intelligent Training Solutions via text message, fees will not be subject to change for the normal duration of the course.

If you are unable to complete your course in the specified time indicated by your enrolment or agreed program delivery form, you will be charged for the addition time and resources required to extend your enrolment. Your program coordinator will monitor your progress throughout the course and will discuss course extension options with you as early as four (4) weeks from your completion date.


6. FEES INVOLVED WITH COURSE TRANSFERS

Course transfers are only accepted up to 7-days prior to course commencement. Students wishing to transfer their course within 7-days of course commencement will be subject to clause 2.3 and be required to re-enroll and pay in a new course.


7. CHANGE OF DETAILS

You must notify Intelligent Training Solutions of any changes to your address, telephone numbers, and email addresses within 7 days of the change. Intelligent Training Solutions requires this so that you can be contacted to receive important information which may affect your course or your enrolment. These enrolment terms and conditions and the availability of our complaints and appeals processes, do not remove your rights to take action under Australia’s consumer protection laws.


8. AWARDS – CERTIFICATES, RECORDS OF RESULTS OR STATEMENT OF ATTAINMENTS

Students are entitled, at no additional cost, to a formal Statement of Attainment on course withdrawal or cancellation, prior to completing the qualification, provided that all fees related to the units of competency to be shown on the Statement of Attainment are paid in full. Course credentials (awards, statements of attainments, transcripts) will not be issued to students who are in breach of any part of this agreement. Additional or re-prints of Statements or Certificates will incur a $20.00 fee which will need to be paid upfront.


9. COURSE ASSESSMENTS

Students are entitled to 2 assessment attempts for each theory unit and 1 practical assessment attempt (this excludes First Aid Courses). If a student is unsuccessful after 2 assessment attempts they will be required to repeat the unit and will be required to pay a repeat unit fee.

 

*All payments made online or over the phone will incur a 2.1% surcharge. This is the fee charged by our financial institute.
